This is an update from emails sent June 27th, July 6th, July 21st & July 29th to all students/parents
3 Things To Do To Transition To New Billing Cycle & Customer Service Platform
A friendly reminder to all that this week Guitar Lessons Albany will be transitioning to a new billing cycle to coincide with the launch of iClassPro, a customer service platform that I will make it much easier to manage your classes, absences, payments and more.
There are some important actions you will need to take;

On the 30th & 31st July I will be sending out emails with a link to create your iClassPro account and enter your preferred payment details in the system for future payments.
Please check your junk/spam folders on the 31st August if it does not appear in your inbox.

On the 1st August, invoices will be issued to all customers with a prorated amount for the month of August to transition your billing date of your regular monthly payments to the 1st of the month starting September.
For those who usually pay with direct debit, The first invoice has to be paid manually, when you enter your preferred payment method this will save to the account to enable the direct debit for future months starting September 1st.
To make the transition easier, you will have 14 days to make payment.

During the transition 29th-31st July, please try not to use the previous platform MusicBiz/ThinkSmart.
Any absences, makeup tokens (previously called makeup credits), or classes booked with a makeup token will not carry over to the new system.
You may email me for any of these reasons during this time until the new system is live on 1st August.
There will be a lot of admin on my end to make this transition as seamless as possible as well as the unavoidable, my university studies returning this week, I ask for your patience as we make this transition.
I expect some metaphorical bumps in the road but I know that this will streamline the admin so that I can focus on what is most important, providing good quality teaching!

Upcoming Changes In Billing Cycle
I'm making a change to the payments that I believe will bring big benefits for you and other customers.
From August 1st, all students will be billed on the 1st of each month
This update will help:
✅ Streamline my admin so I can focus more on teaching
✅ Give all families a clear, consistent payment date
✅ Make the make-up booking system easier and fairer to manage
Here’s what you need to know:

📅 What’s Changing:
Until now, students have paid a flat monthly fee, but on different dates depending on when they started. From August onward, everyone will be billed on the 1st of each month.

🧮 August Transition:
Your August invoice will be prorated to match your current billing cycle, so you’re only paying for what you need as we shift to the new schedule.
This means if you have made a payment in July recently (or your payment is due in the next 16 days), your August invoice will be a reduced amount as you would have already paid some of the August dates in your July payment.

💳 Paying Your Invoice:

If you normally pay by direct debit, you will need to manually pay for this invoice (only the first one). By doing this, if you save your bank/card details at checkout, future payments will be debited automatically each month for convenience.

If in the past you have regularly paid manually, your invoice will be emailed to you as usual and can be paid online.

To help with the transition, the invoice on August 1st will have 14 days to be paid, keep in mind that the next regular monthly payment will be due September 1st. The ultimate goal is to have everything ready to go for regular billing on September 1st.

To help with the transition, any makeup credits issued at any time in July will have it's expiry extended to 31st August (Usually 30 days validity)

I know some families are away during the school holidays. If you miss the memo or the due date, don’t stress, you’ll receive reminders, and I’m happy to help if you need a hand.

📣 Self Booking Made Simpler
I am working hard behind the scenes to make customer service even better. Some exciting news, Music Lessons Albany (Guitar Lessons Albany) will be moving to iClassPro soon. This is a customer service platform that will;

Be linked to the Guitar Lessons Albany website so you can easily access it at all times without having to remember to save an email or bookmark some obscure page.

Easily manage makeup classes

Easily book in for special workshops or register for jam day performances

Have a central place for student news so that if you miss an email you can keep up to date at all times

See what is on offer for all programs, so if you need to permanently change your class times or enrol a friend or family member you can do it all online

Easily update payment details if your credit card expires or you change bank

Easily purchase products you might need such as strings, guitar picks, capos etc.

Easily submit your 30 days notice for cancellation (I hope you don't use this feature but if you do, I want to make it easy for you to do so)

The capability to enrol into other programs such as bass guitar, piano or 1 to 1 guitar lessons (not currently available)

Watch video tutorials and lessons to help you progress and track skill progress
